Tags, Custom Fields, and Billing Properties
Overview
Many licensees find themselves in a situation of needing to group customers together. MyClient provides several features to enable this, all with slightly different characteristics.
Choosing between solutions
- Use Billing Fields if there are a set of options, and each customer is exactly one of the options.
- e.g. Service Level; each customer is either Low, Medium, High Service Level
- Use Tags if a customer might- or might not- fall into certain categories.
- e.g. Belongs to industry A; contacted during promotion B; affected by issue C
- Use Custom Fields if free text entry is needed on every single customer
- e.g. other system ID
Tags
Overview
Tags are a more free-form solution than Custom Fields or Billing Properties. You may assign zero or any number of tags to a customer.
- You can create new tags simply by entering free text in a Tag option.
- You can search to find customers and backupsets for where a customer is tagged with a certain tag.
- You can browse through existing tags from the System Settings page > Tags.
The Tag system is also available to sales staff to use for the Leads and CRM views in MyClient.
Tags are not shared across resellers, each reseller sees their own individual tags only.
Set for one user
You can set tags for one user from the customer's detail dialog window, in the lower right-hand corner. Type into the box (autocomplete is provided over already-existing tags) and press the Enter key to register the tag.
Set in bulk
You can tag customers in bulk from the View Accounts and View Leads page.
You can also tag customers in bulk by using an Event Handler:
- Search for all customers you wish to tag, save this search with a descriptive name
- Create the following Event Handlers:
- User Initiated Trigger --> Connect to accounts in saved search {your saved search}
- Event triggered connected to customer {the above event} --> Tag customer with your tag
- Click the 'Trigger Now' button
- Verify that the customers are tagged, and remove the now unnecessary rules
Set automatically
You can set tags using an Event Handler in response to any system event, including new account creation.
Custom Fields
Overview
A Custom Field is a free text field that you can enter for each of your customers. You may wish to use this for textual information, billing details, information for searching, or metadata for integration with other systems.
At the time of writing, MyClient allows up to five Custom Field definitions. You may configure Custom Field definitions from within MyClient on the System Settings page > System Behaviour > Data Binding tab > "Custom fields on customers" option.
Set for one user
You can set a Custom Field for one user from the customer's detail dialog > Overview tab in the lower right-hand corner.
Set in bulk
At the time of writing, there is no facility to set Custom Fields in bulk.
Set automatically
You can set Custom Fields automatically for new accounts as part of the New Account Plan configuration. At the time of writing, there is no Event Handler available to set the value of a Custom Field.
Billing Properties
Overview
A Billing Property is a drop-down field that you can set for each of your customers.
At the time of writing, MyClient allows up to five Billing Property definitions, as well as three built-in definitions (named "Billing Frequency", "Review Frequency", and "Payment Method").
- You may configure Billing Property definitions from within MyClient on the System Settings page > System Behaviour > Data Binding tab > "Custom billing fields on customers" option.
- You may then configure available dropdown options for each definition from the System Settings page > Billing Fields.
Set for one user
You can set a Billing Property for one user from the customer's detail dialog > Billing tab in the upper right-hand corner.
Set in bulk
At the time of writing, there is no facility to set Billing Properties in bulk.
Set automatically
You can set Billing Properties automatically for new accounts as part of the New Account Plan configuration. At the time of writing, there is no Event Handler available to set the value of a Billing Property.
